WHAT WOULD KEEP YOU BUSY
- Energy Administration: coordinate and optimize energy management administration for the locomotive fleet by managing energy data and invoicing, monitoring costs, resolving discrepancies, and supporting continuous process improvements
- Logistics Coordination: coordinate and support logistics operations for locomotive movements, spare parts, and warehouse activities by ensuring efficient transport execution, stakeholder coordination, and accurate inventory administration
- Digital Services & Telematics: coordinate and support digital fleet services by managing telematics platforms, ETCS keys and SIM card administration, while ensuring reliable data sharing, supplier coordination, and accurate cost and invoice management
- Asset Registration & Compliance Administration: maintain accurate locomotive registration data and key asset roles across relevant systems, while supporting homologation, regulatory compliance, and documentation processes to ensure smooth fleet operations across Europe
- Administrative Support & Data Management: maintain accurate operational data across key systems, proactively follow up on administrative actions, and drive continuous improvements in data quality and process efficiency within the Services Team
WHAT YOU BRING TO OUR TEAM

- Bachelor’s degree or equivalent experience in logistics, administration, business, or a related field, combined with at least 3 years of experience in an administrative, customer support, logistics, supply chain, or finance support role
- Strong administrative, organizational, and analytical skills, with a structured approach and a keen eye for detail
- Strong understanding of service and lease contracting, with the ability to read, interpret, and draft complex contractual documents, as well as basic knowledge of purchasing, invoicing, and logistics processes
- Proactive mindset, with the ability to manage priorities, follow up on actions, and collaborate effectively within a multidisciplinary team
- Fluency in English is required, and bonus points if you can sprinkle in some German

- Inspection Protocols: prepare detailed delivery and re-delivery inspection protocols to maintain high standards

- Customer and Service Provider Liaison: collaborate with full-service providers and customers, supporting commercial managers and the full-service manager to deliver exceptional service
- Maintenance Supervision: oversee maintenance planning to minimize locomotive downtime and ensure efficient operations
- Forward Planning: manage the fleet"s heavy maintenance history to ensure accurate forward planning and maintenance schedules
- Breakdown Management: handle breakdowns, failures, and repair requests for locomotives under Full Service, ensuring quick resolutions
- System Input: provide essential input into fleet planning tools and ERP systems to maintain accurate and up-to-date records
WHAT YOU BRING TO OUR TEAM

- At least 5+ years of experience in fleet management, account management, logistics, or a similar field ideally in an international context
- Advanced proficiency in MS Office applications is a must, knowledge of Salesforce and MS Power platform and asset management software are a plus
- Excellent planning and organizational abilities to manage multiple tasks efficiently
- Strong analytical capabilities and a proactive approach to problem-solving
- Strong communication and interpersonal skills; able to manage complex stakeholder relationships and communicate clearly
- Strong customer service orientation to meet and exceed customer expectations
- Ability to adapt to changing circumstances and handle unexpected challenges with ease
- Comfortable working under pressure, dealing with incidents, and managing shifting priorities
